Privacy Policy
This policy explains how The Kgyoka Foundation and Kgyoka Enterprises Ltd. (together, "Kgyoka," "we," "us") collect, use, and protect your personal information. It applies to all Kgyoka online properties, including this website and its community tools (such as prayer times and the masjid directory), kgyoka.com, our Kgyoka mobile app for Android, and any form or account feature offered on those sites.
We are based in British Columbia, Canada, and handle personal information in accordance with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and British Columbia's Personal Information Protection Act (PIPA).
1. What we collect
Your Kgyoka Account
If you sign in with Google, we receive your name, email address, and profile photo from your Google account. We also store the preferences you set — such as display theme, prayer-tool settings, and a saved "my masjid" — along with basic account activity like when you last signed in. Creating an account is optional; most of our sites work without one.
Orders and purchases
When you place an order we collect your name, email address, phone number, shipping address, and the details of what you ordered. Payment card details are handled by our payment processor and are never stored on our systems.
Forms you submit
When you fill in a form on any of our sites — a contact form, waitlist or newsletter signup, volunteer application, custom order request, vendor application, or a suggestion for the masjid directory — we collect the information you enter in that form.
Content you store with us
Some Kgyoka products — such as Kgyoka CRM personal workspaces — let you store your own working data with us: contact lists, deal notes, imported phone contacts, and similar records. That content may include personal information about other people (your customers, leads, or contacts). For this content:
- It is yours. We store and process it only to run the product for you. We do not read it, use it for marketing, share it, or add it to the customer records described below.
- You are the one responsible for it. By storing information about other people, you confirm you have the right to do so — for most small businesses that means information collected in the ordinary course of dealing with your own customers.
- You can take it out. You can export your workspace data at any time, and deleting your workspace (or asking us to) removes the content from our systems, subject to short-lived backups.
- Staff access is limited to what is technically necessary to operate and support the service — for example, investigating a fault you report.
Technical information
Our hosting provider keeps standard server logs (such as IP addresses and request times) for security and reliability. We do not use tracking cookies, advertising trackers, or analytics that identify individual visitors.
2. How we use your information
- To provide our services — fulfilling and shipping orders, answering your messages, coordinating volunteers, running events you register for, and powering account features like saved preferences.
- To maintain one customer record across Kgyoka. The Kgyoka Foundation and Kgyoka Enterprises share supporting infrastructure and a single account system. If you interact with both — for example, you volunteer with the Foundation and buy a product from Enterprises — we keep one linked record of those interactions rather than fragmented duplicates. This helps us serve you consistently and avoid duplicate records; it does not expand what is collected.
- To send you email you asked for — order confirmations and updates always; newsletters and announcements only if you signed up for them. Every marketing email includes an unsubscribe link, in line with Canada's Anti-Spam Legislation (CASL).
- To keep our services safe — preventing abuse, fraud, and misuse.
Religious-preference data stays in the tools it serves. Settings like your saved masjid or prayer-calculation preferences exist only to make the Foundation's prayer tools work for you. We do not use them for marketing, do not share them, and do not include them in the customer records described above.
We do not sell, rent, or trade your personal information. Ever.
3. Where your data lives and who processes it
Our sites and databases run on Google Firebase (Google LLC), with data stored on Google's servers in the United States. This means your information may be subject to lawful access requests under United States law while stored there. Google acts as our service provider and processes data only on our instructions.
Other service providers we use:
- Google Workspace / Google Sheets — internal processing of orders and form responses.
- Payment processors — when you pay for an order or make a donation, the processor collects your payment details directly under its own privacy policy. We receive confirmation of payment, not your card number.
4. How long we keep it
We keep personal information only as long as it is needed for the purpose it was collected, plus any period required by law — for example, order and donation records are retained for the periods Canadian tax law requires. Account data is kept while your account is active; if you ask us to delete your account, we remove your profile and preferences, keeping only what we are legally required to retain.
5. Your rights
You may, at any time:
- Access the personal information we hold about you;
- Correct information that is inaccurate;
- Delete your account and associated preferences;
- Withdraw consent to marketing email (unsubscribe link, or just ask);
- Complain — to us first, and if you're not satisfied, to the Office of the Privacy Commissioner of Canada or the Office of the Information and Privacy Commissioner for British Columbia.

6. Our mobile app (Android)
The Kgyoka app is a companion for our online community tools. Most of it works without an account. When you choose to use certain features, the app asks your device for permission first, and you can change or revoke any of these permissions at any time in your device's system settings.
- Location — used only to show prayer times for where you are, orient the Qibla compass, and find mosques near you. Location is optional; you can instead pick a city manually. We do not track your location in the background or build a location history.
- Camera — used only when you open the halal barcode scanner, to read a product barcode. The camera image is processed on your device to detect the barcode; we do not store it or send it to our servers.
- Notifications — used only if you turn on prayer-time or reminder notifications (such as adhan, Witr, Tahajjud, or missed-prayer reminders). These are scheduled on your device; enabling them does not send your prayer habits to us.
- Nutrition and prayer logs — if you use the nutrition or prayer-tracking tools while signed in, the entries you create are stored in your account so they sync across your devices. If you are not signed in, they stay on your device only.
The app displays our live website inside a secure in-app view, so the sections above about accounts, forms, and technical logs apply to it in the same way they apply to the website.
7. Deleting your data
You can ask us to delete your Kgyoka Account and its associated data — your profile, saved preferences, saved masjid, and any nutrition or prayer-tracking entries — at any time.
- How to request deletion: email info@kgyoka.com from the address on your account, or from within the app, with the subject "Delete my account." We will confirm and complete the deletion within 30 days.
- What we keep: only records we are legally required to retain (for example, order or donation records kept for the periods Canadian tax law requires). These are not used for any other purpose.
- On-device data (such as tools used without signing in) can be cleared at any time by clearing the app's storage in your device settings or uninstalling the app.
8. Children
Our sites are not directed at children under 13, and we do not knowingly collect personal information from them. If you believe a child has provided us personal information, contact us and we will delete it.
9. Changes to this policy
If we change this policy, we will update the effective date at the top of this page. For material changes — such as a new category of data collection or a new kind of sharing — we will post a notice on our sites before the change takes effect.
